What Makes English Hard to Transcribe

Accents change the vowels, not the words
Words that sound the same
Names, jargon and numbers

A Glaswegian, a Texan and an engineer from Bangalore can say the same sentence with almost no vowel in common. Speech models trained on a narrow set of voices stumble on exactly this, and non-native speakers add their own rhythm and stress. The transcript still has to land on the same standard words, whoever is speaking.

Accents change the vowels, not the words

English is full of homophones: their, there and they’re; affect and effect; complement and compliment. Weak forms make it worse, because could have is said like could of and going to like gonna. The right spelling comes from the meaning of the sentence, which is why these are the first places a careful reader looks.

Words that sound the same

Product names, acronyms and industry terms rarely appear in everyday speech, so they are where transcripts slip: is it SaaS or sass, Kubernetes or a guess at it? Numbers raise a style question too: twenty-five or 25, 3 pm or three o’clock, 2.5 million or two and a half million. Settle the style before the text goes out.

What a Clean English Transcript Looks Like

Three lines from a remote meeting, and what each one shows.

  1. Speaker 1

Let’s move the launch to Q3 and loop in the APAC team on Thursday.

Acronyms such as Q3 and APAC are kept as written, not spelled out phonetically. Check them first in business recordings.

  2. Speaker 2

Their numbers are fine, but there’s a gap in the onboarding flow.

Their and there’s sound almost alike in fast speech. The meaning picks the spelling, and homophones are worth a quick scan.

  3. Speaker 3

So, um, we went from 1,200 users to about 4,500 in six weeks.

A non-native speaker with a filler and two spoken numbers. Keep fillers for research, cut them for publication, and keep one number style.

A six-person panel discussion, and it kept every voice straight. I stopped double-checking after the third transcript.

Other tools gave me a lowercase stream of words. Here sentences actually read like sentences — barely any cleanup.

Uploaded a two-hour recording during lunch — the transcript was waiting before I finished my coffee. The accuracy genuinely surprised me.

Our legal team approved it because processing stays on EU infrastructure. That alone ruled out most of the competition.

Frequently Asked Questions

About transcribing English.

All questions
Yes. The model is trained on English from many countries and on non-native speech, and it writes standard English whatever the accent. Very strong accents, poor microphones and crosstalk are where errors cluster, so read those passages against the audio.
The transcript does not let you choose a variant, and spelling can follow the speaker or the model’s defaults. If you publish to a house style, run a spell-check in American or British English on the exported text, or fix words like colour and color in the editor.
Some are, and quick ones may be left out, so it is not a strict verbatim record of every hesitation. For subtitles and articles, remove the rest in the editor; for research, listen through the passages that matter.
Up to 99.8% on clear audio. Background noise, overlapping speakers and phone-quality recordings lower it, and the editor shows text and audio side by side, so the remaining fixes are quick.
Choose the main language of the recording. Short phrases in another language may be transcribed or translated into it, so for a meeting that is half in English and half in Spanish, split the file or transcribe it twice.
All common audio and video formats — MP3, WAV, M4A, MP4, MOV, MKV and more — up to 8 GB per file, or a YouTube or Vimeo link. Export to SRT, VTT, ASS, TXT, DOCX, PDF, CSV, XLSX or JSON.
